How to Register CHSI and Link it with Degree and Graduation Certificate
CHSI Education
When you graduate from a university in China, you will need verification documents for a diploma and degree certificate. These verification documents prove that the diploma and degree certificate are correct and recognized by the Chinese Ministry of Education. You can verify this online from the CHSI (China Higher Education Student Information) website, which is managed by the Center for Student Services and Development, Ministry of Education, P.R. China (CSSD).
So, what steps must be taken to get verification documents at CHSI? Below, I summarize the stages based on my experience.
1. CHSI Registration
Register on the CHSI website or click the following link.
You need to prepare a mobile phone number from China to register. The CHSI system does not allow you to register using a number outside China. So, you should register on the CHSI website after or even before you graduate from China. What if you have returned to your country and can no longer use your Chinese number? You can ask your friends in China for help who have Chinese numbers, or you can ask for help from staff at your university so you can register at CHSI.
1.1 Things you need to pay attention to when registering a CHSI account
Apart from the Chinese number, you must pay attention to your personal data such as name and number. Passport and date of birth. The data you will enter to register at CHSI must be exactly the same as the data your campus submits to CHSI. By default, your campus will register the data of all its students after graduating into the CHSI system so that when students register with the CHSI system with the same data, the student's account will automatically match and be connected to the data already in the database.
Once you have completed registration, you cannot change your passport number at all. Especially if you have changed passports during your studies, this will be a problem because your campus will register you at CHSI using your old or new passport, just one of them. So it is very important to ensure this.
Apart from that, the name you enter for registration must be the same as your campus registered with CHSI. The slightest discrepancy will make your account unable to match and connect with CHSI correctly, and you will not be able to download the verification documents you need. The name you registered can still be changed, but it is only limited to 10 opportunities. Of course, we know that most campuses in China write their last name (family name) at the front, so you have to ensure this. Based on my experience, it is best to enter your name when registering for CHSI according to your name on your diploma document.
After completing registration, you will be asked to upload a photo of the front page of your passport, the passport page that shows the national symbol, and a second photo of you holding it, something like this:
Follow the instructions as requested by CHSI. If there are deficiencies or discrepancies, you will be asked to revise it. Once everything is in order, your CHSI account will be verified and active.
2. Online Verification Report of Higher Education Degree Certificate
The first document is the Verification Report of Higher Education Degree Certificate. As we know, Chinese graduates have two documents provided by the campus: a degree Certificate and a Graduation Certificate. There are two stages to getting the Verification Report of Higher Education Degree Certificate: connecting our Degree certificate to your CHSI account and submitting a request for a verification document.
2.1 Linking Degree Certificate with CHSI account
After successfully creating an account at CHSI, the next step is to connect it to the Degree Certificate. Make sure that your campus has sent the Degree Certificate data to CHSI. You can ask your campus's International Office directly to do this. Then, to link your Degree Certificate with your CHSI account, first go to the following CHSI page.
Then select the green button that says "登录学信档案". Next, highlight the menu "高等教育信息" and click "学位信息" as shown in the following image:
After that, you will usually be asked to write the university's name. Enter the name of your university in Hanzi; then, the options will appear. Next, a page like the following will appear; click on the "尝试绑定学位" section.
You will be asked to enter the Degree Certificate number; please enter it exactly as it is written on your degree certificate, then click "确定.
If connected successfully, a page will appear with your photo and data showing your degree certificate as shown in the following image:
Finally, your degree certificate has been linked and matched with your CHSI account.
2.2 Request Online Verification Report Of Higher Education Degree Certificate
The next stage is to request the Verification Report of Higher Education Degree Certificate document from CSSD. Move the cursor to the "高等教育信息" menu and click "学位信息" in the dropdown menu:
After that, a page like the one below will appear, then click the green button "申请".
You will be asked to enter the period of validity of the degree verification document you are submitting. The minimum period is 1 month (30天 or 1月), and the maximum is 6 (180天 or 6月) months. Although this period can be renewed when it expires, I suggest filling it with a maximum period of 6 months. Press "申请" when you have finished determining the period.
After that, a page like the one below will appear, then select "查看".
Finally, check the CSSD degree verification report document that comes out. Make sure the name, date of birth, and degree certificate number listed are correct. You can download the PDF version of the verification document by pressing the download button in the top right corner:
3. Online Verification Report of Higher Education Qualification Certificate
The second document is the Online Verification Report of Higher Education Qualification Certificate. As I explained at the beginning, this document aims to verify a diploma or graduation certificate. The following are the steps to obtain the Online Verification Report of Higher Education Qualification Certificate document.
Unlike the Degree Certificate, the Graduation Certificate cannot be connected manually by students. Only campuses or universities can link Graduation Certificates to their students' CHSI accounts. Therefore, you must notify the campus to send Graduation Certificate data to CHSI so that it can be automatically connected to your CHSI account. Based on my experience, it takes little time to link your Graduation Certificate to your CHSI account as long as your campus immediately inputs data into CHSI. So, after your campus has finished inputting data into CHSI, the Graduation Certificate will automatically be connected to your CHSI account (provided that all the data inputted by the campus matches the data you input to register on the CHSI website).
3.1 Request Online Verification Report Of Higher Education Qualification Certificate
The following are the steps to obtain the Online Verification Report of Higher Education Qualification Certificate document. First, log in to your CHSI account, then the cursor to the "在线验证报告" menu and click "高等学历" in the dropdown menu.
After that, you will usually be asked to write the university's name. Enter the name of your university in Hanzi; then, the options will appear. If the university identity verification has been successful, a page will appear below; select "申请" to continue.
You will be asked to enter the validity period of the degree verification document you submit. The minimum period is one month (30天 or 1月), and the maximum is 6 (180天 or 6月) months. Although this period can be renewed when it expires, I suggest filling it with a maximum period of 6 months. Press "申请" when you have finished determining the period.
After that, a page like the one below will appear, then select "查看".
Finally, check the CSSD degree verification report document that comes out. Make sure the name, date of birth, and graduation certificate number listed are correct. You can download the PDF version of the verification document by pressing the download button in the top right corner.
4. Document Translation
All documents obtained from the steps above are verification documents in Mandarin. You can get the English version of both verification documents on the CHSI website. However, you need to pay 30元 for each document. So you must prepare 60% to translate the results from both documents into English. To pay for these documents, you can use WeChat Pay or Alipay. I will not explain the steps for translating this document in detail, but they are more or less as follows:
First, move the cursor to the "出国报告发送" menu and select "英文翻译". After that, press the green button "继续申请" at the very bottom to start the application.
After that, a page like the following will appear:
Select "中国高等教育学位在线验证报告翻译件" or the 3rd line to get the Online Verification Report of Higher Education Degree Certificate document in English.
Select "教育部学历证书电子注册备案表翻译件" or the second line to get the English Online Verification Report of Higher Education Qualification Certificate document.
After selecting the document you want to translate, click "确定" to continue. Next, you will be asked to check the name appearing in the translated document. You will be asked to enter a space in your full name or not; my suggestion is to choose no space. Finally, you will be asked to pay using your chosen payment method (Alipay or WeChat Pay). You only need to scan the barcode that appears and make payment in less than 2 hours.
You can see the results of the document translation approximately one hour later. You can see the results via the "出国报告发送" menu and select "英文翻译. Then select "查看" to view and download the document.
